To ensure the integrity of our quotation process and protect against fraudulent procurement activities, The Arena Group generally does not provide quotations for subcontracting arrangements, third-party Requests for Quotations (RFQs), or tender-related submissions.

Such requests will only be considered where all of the following requirements are met:

1. Existing Customer Relationship
   The requesting organisation must be an existing customer of The Arena Group or a verified client that has previously purchased goods or services from us.
2. Formal Partnership Agreement
   A written partnership or collaboration agreement must accompany the request and must:
   • legally bind all participating parties;
   • identify The Arena Group as the nominated supplier of the relevant goods and/or services should the bid or tender be successful;
   • include the complete tender or RFQ documentation, specifications, scope of work, evaluation criteria, and any other applicable terms and conditions.

3. Authorised Tender Participation
   Where applicable, an authorised representative of The Arena Group must be afforded the opportunity to review, approve, sign, and endorse the tender or RFQ documentation in accordance with all applicable procurement legislation, Treasury Regulations, and partnership requirements.
4. Business Verification
   All participating parties must provide:
   • valid business registration documents;
   • a current SARS Tax Compliance Status PIN;
   • verifiable business contact details; and
   • any additional information reasonably required to complete our due diligence process.

Requests that do not satisfy the above requirements, or which cannot be independently verified, will unfortunately not be considered.

This policy has been implemented in response to the increasing incidence of fraudulent procurement activities, unauthorised quotation requests, and the substantial administrative resources required to investigate and manage such matters. These measures help protect both our organisation and our legitimate customers.
